Coordinator, Development Communications

Overall Function

Reporting to the Senior Manager, Development Communications Operations, the Coordinator, Development Communications runs systems to ensure that the Development Communications team is efficient and effective in achieving the mission of the department. This includes coordinating information and project management systems to ensure that materials are managed for most effective use, managing the team workplan for greater team efficiency, creating and coordinating emails to major donors, and handling administrative tasks to help ensure smooth and high functioning departmental operations. A successful coordinator brings project management, information management, nonprofit communications and administrative expertise to the Development Communications team.

Key Responsibilities

  • Participate in department-wide initiatives, projects, meetings, retreats and other duties as assigned.
  • Maintain the Development Communications workplan and support the Senior Manager in running reports and creating presentations on team data.
  • Maintain a strong understanding of Asana and support the Senior Manager in designing and rolling out Asana applications for various team functions.
  • Take responsibility for communicating time-sensitive breaking news to donors. This includes coordinating with program and communications staff, formatting email communications, proofreading and formatting text, managing distribution lists and securing VP-level approvals.
  • Support the Senior Manager and team members with process management for donor reports and proposals and other deliverables.
  • Support the Senior Manager in developing and maintaining consultant and new hire onboarding and training materials.
  • Support the Development Communications team in developing and maintaining general funder materials.
  • Support the Senior Manager in problem-solving information management and using the team project space and fundraising database.
  • Establish systems and procedures to capture and store materials in the team’s project space.
  • Collect, document, track and distribute donor reports and proposals and other deliverables, for the organization’s top donors.
  • Track and organize email and team-related data statistics in our project space.
  • Work with other teams on information management to ensure efficient use of departmental data platforms and consistent communication between teams on available information and materials.
  • Support Development Communications writers as needed with drafting, proofreading and formatting text.
  • Support Development Communications writers as needed with gathering content and formatting visual communications materials (photos, videos and illustrations).
  • Schedule meetings, make travel arrangements, organize meeting logistics, process invoices and complete expense reports for the Development Communications team.
  • Prepare and send regular internal communications around funder materials, mailings and other engagement opportunities, including gathering information for the weekly Development Update.
  • Organize external mailings (as needed) for department materials.
  • Support team engagement activities, including but not limited to recognizing birthdays, EDF anniversaries and other notable occasions, organizing team lunches, etc.
  • Participate in advancing EDF’s organizational effectiveness and culture goals, in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges aligned with EDF values.

Qualifications

  • Associate degree or equivalent in a relevant field with a minimum of three years of administrative work experience. A Bachelor’s degree or equivalent may substitute up to two years of administrative work experience.
  • Demonstrated experience in managing projects or information systems and working with document libraries and shared project space tools.
  • Demonstrated organizational skills, strong attention to detail, and strong communication and interpersonal skills.
  • Strong proofreading skills and an eye for visual communications.
  • Proficiency with Microsoft Office, expertise in Excel, and experience with contact databases.
  • Demonstrated ability to learn quickly, solve problems independently, work proactively and juggle concurrent assignments on deadline.
  • Willingness and ability to conduct work via teleconference, telephone, email and Slack.
  • Demonstrated self-awareness, cultural competency, inclusivity, and ability to work with colleagues and stakeholders across all cultures and backgrounds.
  • Ability to work in a fast-paced, mission-driven work environment.
  • Experience with fundraising databases and fundraising report-writing software (Salesforce experience a plus).
  • Experience with collaborative project management systems (Asana experience a plus).
  • Motivation to develop relationships and work collaboratively with staff in offices and remote locations around the world.
